School Secretary

Position Purpose
The School Secretary will assist the building principal with the day to day operation of the principal's office. The School Secretary will promote a strong positive image of the school district by communicating an attitude of professionalism and helpfulness to callers, visitors, and patrons.

Essential Functions:
• Welcomes visitors to the school and provides directions around the building as needed.
• Maintains building personnel/service records, certification and licenses copies in compliance with the State accreditation standards for the Principal.
• Communicates with parents, college representatives, or guests on the telephone regarding school relations.
• Enters and maintains student attendance data and contacts parents when students are absent or tardy.
• Serves as school's financial secretary and maintains student activity account. Submits monies received daily to the district business manager.
• Maintains appointment schedule for Building Principal.
• Maintains Board Policy and Administrative Regulation Manual for Principal.
• Schedules substitute teachers, provides and collects classroom information for substitute and submits substitute timesheets.
• Maintains and submits documentation for teacher attendance.
• Prepares material for community and education projects if needed in special meetings or for special projects.
• Prepares and receives all business correspondence for building principal.
• Prepares information for faculty prior to staff meetings, i.e., agenda, school dates, related information, etc.
• Prepares and submits State Department of Education reports in a timely manner for Building Principal.
• Types and copies letters of recommendation for students and staff as directed by Building Principal.
• Prepares memoranda and correspondence to be distributed to patrons, students, and/or news media.
• Distributes all pertinent information to teachers as directed by Building Principal.
• Performs other duties as assigned by the Building Principal.
• Supports Principal and other administrative personnel for the purpose of assisting with their administrative functions.

Additional Duties
Performs other related duties, as assigned, for the purpose of ensuring the efficient and effective functioning of the department.

Travel Requirements
Limited travel to and from meetings may be required.

Qualification Profile
• High School Diploma or equivalent.
• Bachelor's Degree is recommended.
• Previous work experience in an office setting is preferred.
• Effective communication skills
• Effective interpersonal skills
• Minimum of two (2) years experience or training in the use of word processing equipment with permanent storage capabilities.

Typical qualifications would be equivalent to: FLSA Status: Non-exempt
