Position is for the 2024-2025 school year.

POSITION: Office Clerk (.5 FTE)

LOCATION: Valley View Innovation School

PAY RANGE: C10-4 Range, $20.64 - $29.65 per hour

CALENDAR: 190 Days, 4 Hours per day

FLSA STATUS: Non-Exempt

Valley View Innovation School specializes in supporting students who are identified as gifted and talented or are ready for advanced and accelerated learning opportunities. Project Based Learning (PBL) is a teaching method in which students gain knowledge and skills by working for an extended period of time to investigate and respond to an authentic, engaging, and complex question, problem, or challenge. Additionally, PBL is the ideal approach for advanced, accelerated, and gifted children.

Valley View features flexible and sophisticated designs unexpected in a PK-8 school, including creative and intentional deviations from traditional classroom settings and structures. At each grade level, students build their academic year around three or more engaging, multi-disciplinary projects that rigorously address Colorado Academic standards. Fueled by each student’s engaging, thoughtful, and complex questions, projects come to life in one of six Immersion Studios – robotics, technology, culinary arts, art, music, and science. SUMMARY:

Support the efficient and professional operation of all school procedures and activities while creating a welcoming environment where all students, parents, and staff are treated with dignity and respect. Assist with all administrative tasks.

ESSENTIAL DUTIES AND RESPONSIBILITIES:
• Create a warm, friendly, collegial atmosphere where service to staff, students, and parents is the priority.
• Answer telephone and greet public.
• Respond to inquiries and direct to staff or administration as needed.
• Assist with:
• Registration procedures and maintaining student cum files.
• Student enrollment records.
• Student attendance records.
• Student discipline records.
• Parent communications (flyers, newsletters, etc.).
• Staff communications, using technology effectively (newsletters, bulletins, memos, etc.)
• Time and attendance documentation, payroll, and calling substitute line.
• Process mail, both internal and external.
• Enter work orders as needed.
• Provide medical treatment for sick or injured when Health Aide is not available.
• Assist with maintaining school purchase orders and materials inventory.
• Assist with maintaining school activity fund.
• Assist with school fund raisers.
• Assist with Coordination of parent activities, volunteers, SAAC Committee, Yearbook, etc.
• Assist with insuring efficient working operation of all office equipment and support equipment, such as copy machines, etc.
• Maintain an orderly, professional office appearance.
• Be able to work at a fast pace and handle multiple tasks and situations simultaneously and with interruptions.
• May assist teachers with one or more of the following: implementing lesson plans; maintaining classroom; reinforcing skills and materials; administering, scoring, and/or recording tests and grades; evaluating students and/or program; preparing instructional materials; developing work schedules; performing clerical duties; maintaining files, records, and/or progress reports; supervising students to and from classroom and/or buses, on field trips, on playground, during lunch, in computer lab, and/or during other activities; preparing classroom or learning environment with needed supplies and materials; tutoring; and/or leading activities of class and/or small groups.
• Ability to assist students with understanding and reinforcing skills and materials in their native language, preferred. May also support parents by interpreting at school functions and/or by providing student progress information.
• May assist with student health care, including one or more of the following: administering first aid to ill or injured children; caring for bathroom needs; dispensing medication; assisting with medical needs.
• May attend appropriate in-services, building meetings, training, and/or school functions.
• Perform other duties as assigned.

EDUCATION AND TRAINING:

High school diploma or equivalent. Technical courses in computers and accounting preferred.

EXPERIENCE:

1 year office experience preferred.

SKILLS, KNOWLEDGE, & EQUIPMENT:

Strong oral and written language, spelling, and basic math; interpersonal relations; public relations; problem solving; phone etiquette; copy machine; phone system; keyboarding; computer programs: Microsoft Outlook, Microsoft Word, Microsoft Publisher, Excel, and desktop publishing; bookkeeping and accounting; ability to maintain confidentiality in all aspects of job; Bilingual Skills Desirable.

CERTIFICATES, LICENSES, & REGISTRATIONS:

CPR and First Aid certifications within 90 days after hire.

SUPERVISORY/TECHNICAL RESPONSIBILITY:

This job has no supervisory responsibilities.

JUDGEMENT AND DECISION MAKING:

This job has no supervisory responsibilities. Acts as a resource for students, teachers, staff, and parents regarding school policies, procedures, and communications.

JUDGEMENT AND DECISION MAKING:

Work is assigned by Principal and Office Secretary. Requires independent judgment and tact to respond to concerns/problems and direct them to the appropriate individual; to properly care for ill students, parent concerns and how to best support school operations. Decision making requires strong collaboration with Principal, office personnel, Health Aide, teachers, students, and families. Supervisor is always involved in decision making.

DIVERSITY OF DUTIES:

Duties required cross training in bookkeeping and basic health care. Duties extend within assigned building.

While performing the duties of this job, the employee is occasionally exposed to bodily fluids. The noise level in the work environment is usually moderate.
