Job Description

Operations Coordinator

Dallas Academy of Music & Performing Arts (DAMPA)

Dallas, TX | Part-Time
$20–$23/hour + enrollment and performance bonuses

Dallas Academy of Music & Performing Arts is hiring an Operations Coordinator to become the primary day-to-day operational point person during our busiest lesson hours.

DAMPA is a private music and performing-arts school serving students through private lessons, musical theatre, songwriting, recording, early childhood music, ensembles and performances.

This is not a traditional receptionist job.

You'll sit at the center of the school during the afternoon and evening — helping families, supporting teachers, managing schedules, following up with prospective students and solving the everyday problems that come with a busy performing-arts school.

We're looking for someone with a background in music or the performing arts who combines strong people skills with excellent communication, organization, judgment and follow-through.

Key Responsibilities

• Managing student and teacher scheduling, cancellations, callouts and schedule changes

• Communicating with families by text, email, phone and in person

• Managing prospective students from initial inquiry or free trial through enrollment and recurring scheduling

• Helping families find the right teacher, program and schedule

• Supporting teachers with scheduling, student changes, rooms, materials and other operational needs

• Handling routine billing, account, cancellation and policy questions

• Monitoring upcoming trials, schedule gaps and unresolved requests so nothing falls through the cracks

• Supporting approved outreach campaigns, programs and DAMPA events as needed

You'll work primarily from our centrally located front desk, where families and teachers naturally come for help between lessons, while remaining mobile throughout the school as needed.

Performing-Arts Background Required

Candidates must have meaningful experience in music, theatre or the performing arts. That could come from performing, teaching, studying music or theatre, touring, production work, arts administration, working at a studio or performing-arts organization, or another substantial involvement in the arts.

A specific degree is not required. What matters is that you can communicate naturally and credibly with musicians, teaching artists, students and families and understand the culture of a creative environment.

What We're Looking For

• Prior administrative or operations experience is highly desirable, but not required for the right candidate

• Excellent written and verbal communication

• Professional, polished and confident with parents and families

• Calm, respectful and solution-focused with high-expectation clients / challenging situations

• Comfortable communicating and problem-solving with artists and creative professionals

• Warm and approachable with children and teenagers

• Highly organized and able to manage several competing priorities at once

• Proactive, resourceful and able to follow an issue through until it is actually resolved

• Comfortable learning new technology and operating systems

We're open to someone early in their career who demonstrates the professional experience, maturity, initiative and aptitude to grow into the position.

Schedule

Required: Monday–Thursday, 3:00–8:00 PM (20 hours/week)

Consistent availability during these hours is required because this position provides primary operational coverage during DAMPA's busiest lesson hours.

Optional: Saturday, 11:00 AM–4:00 PM

Saturday availability is welcomed but not required. Candidates who are interested and available can add these hours to their regular schedule.

Compensation & Benefits

• $20–$23/hour, based on relevant experience

• Additional enrollment and performance commission & bonuses

• Formal 90-day performance and compensation review

• Paid DAMPA holidays and scheduled school closures

• Paid time off and flexibility for planned time away

• Complimentary admission to DAMPA performances and events

• Access to DAMPA practice rooms, instruments and creative spaces when available for personal development

• Opportunity for increased hours, compensation and responsibility based on performance and DAMPA's needs

• Employees who later meet DAMPA's health-plan eligibility requirements may participate in the plan; DAMPA currently contributes 50% of the employee premium

Growth Opportunity

We're hiring this role with the future in mind.

The first priority is becoming excellent at DAMPA's day-to-day operations and becoming someone our families, teachers and leadership can rely on during the school's busiest hours.

For someone who demonstrates strong judgment, initiative and operational ownership, there is meaningful opportunity to grow into broader responsibility and leadership.
