Job Description

• Organize, coordinate, and manage multiple administrative activities within the department.
• Process and troubleshoot a variety of department-related functions, including biweekly and monthly payroll processing, audits, assignment/shift changes of personnel and other administrative related duties in an accurate and timely manner.
• Receive, review, and audit employee timesheets in preparation for monthly payroll closeout procedures, and generate weekly and monthly payroll reports.
• Interact with all levels of management and employees in resolving issues.
• Prepare and submit reports, correspondence, forms, spreadsheets, etc. for the department head and other staff members.
• Maintain physical and electronic records, including absent-from-duty forms, overtime approvals, and personnel-related payroll documentation in preparation for month-end closeout procedures.
• Monitor and process personnel records including leave requests, overtime and other related reports; compile information and submit to the Director.
• Answer incoming telephone calls, take accurate messages, route communications appropriately, and provide quality customer service to employees, supervisors, and administrators.
• Assist with research, audits, reconciliations, and special projects as assigned, and provide regular feedback and status updates to the Director.
• Perform all other duties and responsibilities as assigned.
• High School Diploma or GED required.
• Associate's Degree from an accredited university preferred.
• Three to five years of directly related experience required.
• Advanced typing skills with a minimum of 40 words per minute.
• Demonstrated ability to work independently with minimal supervision.
• Demonstrated ability to prioritize multiple assignments and meet strict deadlines in a fast-paced environment.
• Demonstrated ability to maintain confidentiality and handle sensitive payroll and personnel information.
• Demonstrated ability to maintain a professional, welcoming, and customer-service-oriented office environment.
• Demonstrated ability to de-escalate problems and manage difficult or hostile situations professionally.
• Strong verbal and written communication skills.
• Knowledge and operation of standard office equipment.
• Strong organizational, interpersonal, analytical, and customer service skills.
• Proficiency in Oracle, Microsoft Word, Excel, data import/export.
• Knowledge of district organization, operations, and administrative policies preferred.
