Job Description

The Middle School Administrative Assistant provides a welcoming, competent presence at the front desk of the School, interfacing with parents and guardians over the phone and via email, and with teachers, staff, children, and visitors in person. An ability to multitask and work independently in a busy environment is important, as is attention to detail, a basic facility with office skills, and a love of working with teachers and middle school students. The hours for this 12-month, full-time position are 7:45 AM – 3:45 PM.

Responsibilities:

Answers phone calls in a pleasant, informed manner for the purpose of providing information and creating a hospitable environment and school culture;

Monitors controlled-access gates, doors, and security cameras to help ensure campus safety;

Communicates regularly with the safety and security team regarding protocols and procedures;

Greets all incoming students, families, and guests respectfully and professionally;

Performs administrative and clerical duties, as needed;

Coordinates substitute teachers and maintains timecard approvals in Paycom;

Maintains a tidy and professional space at the front desk and lobby;

Coordinates with maintenance staff regarding daily work orders, summer projects, classroom moves, and capital expenditures and improvements;

Communicates with janitorial staff regarding housekeeping and facility needs;

Keeps medicine chest, faculty lounge, and supplies room appropriately stocked and organized;

Monitor student prescription medicine in accordance with school policy;

Monitors daily attendance and assist students checking in late or leaving early;

Communicates any schedule changes that impact lunch to the food service provider;

Makes copies for teachers and students;

Distributes forms, collect money, collect permission slips, and other like duties;

Assists injured or ill students and monitor the sick room;

Assists with faculty and divisional functions, ex. Awards assembly, etc.;

Performs filing, assist with mailings, and other office tasks;

Other duties as assigned by the Division Head.
• Tech proficiency that includes a strong facility in MS Office and Google Drive, and comfort working in various software platforms;
• Maintains a warm manner, responding to everyone with courtesy, kindness, and diplomacy
• Maintains confidentiality about private family, student, and staff matters
• Works cooperatively as part of a team
• Is able to sit or stand for extended periods of time
• Lifts supplies and materials weighing up to 25 pounds.
