EDUCATION AND EXPERIENCE:
High School Diploma or Equivalent
Six years' clerical, administrative, or office support experience
High School Diplomas and college/university degrees must be obtained from an accredited program or university approved by the United States Department of Education and the Texas Education Agency.
PRIMARY PURPOSE SUMMARY:
Provide high-level administrative and operational support to the Executive Director of Procurement & eCommerce and the administrative teams of Procurement & eCommerce, Distribution Center, and Document Management & Print Services. Performs advanced administrative, technical, and office support functions requiring independent judgment, organization, attention to detail, and knowledge of departmental operations and procedures.
ESSENTIAL REQUIREMENTS AND RESPONSIBILITIES:
1. Provides executive-level administrative support to the Executive Director of Procurement & eCommerce and departmental leadership staff.
2. Coordinates and manages departmental office support functions, administrative workflows, calendars, communications, and work assignments.
3. Supports departmental operations by communicating information, interpreting procedures, monitoring daily activities, and assisting with implementation of department processes and initiatives.
4. Maintains electronic records by scanning and organizing multiple document types within the District’s electronic document management system in accordance with records retention procedures.
5. Enters, processes, and monitors department requisitions and related transactions within the District’s financial system.
6. Assists the Executive Director with monitoring and managing departmental budgets, including tracking expenditures, maintaining budget documentation, preparing budget-related reports, and supporting fiscal planning activities.
7. Compiles, prepares, and submits departmental procurement information and supporting documentation for Texas Association of Business Officials (TASBO) purchasing award applications and other reporting requirements.
8. Assists with research, data collection, report preparation, presentations, audits, and special projects related to Procurement & eCommerce operations and other Finance Offices.
9. Prepares and maintains reports, spreadsheets, presentations, correspondence, and departmental records with a high degree of accuracy and professionalism.
10. Maintains confidentiality of sensitive information and records.
11. Reports to work on time and maintains reliable attendance.
12. Performs additional duties and accepts other responsibilities as assigned.
QUALIFICATION REQUIREMENTS
• Knowledge and ability to effectively utilize Microsoft Office applications including Word, Excel, PowerPoint, Outlook, and other web-based applications
• Ability to learn and effectively utilize financial, procurement, and document management systems
• Strong organizational, records management, multitasking skills, and attention to detail
• Excellent interpersonal, written, and verbal communication skills
• Ability to respond professionally to inquiries from District staff, vendors, regulatory agencies, and members of the business community
• Ability to effectively present information and communicate with administrators, departments, and stakeholders
• Ability to prioritize work, manage deadlines, and maintain accuracy in a fast-paced environment
• Ability to exercise professionalism, discretion, and independent judgment
• Valid Texas Driver's License with driving record that meets District requirements

WORK ENVIRONMENT:
The employee is occasionally exposed to risk of electrical shock. The noise level in the work environment is usually moderate.
