Impact Public Schools is seeking a Health Aide to provide essential administrative and operational support to our school nursing team. This is a non-clinical, supportive role designed for a highly organized individual who is passionate about student wellness and equity. Core Job Functions
Data & Compliance Management
• Immunization & Onboarding Audit: Primary responsibility for auditing WA State immunization records (CIS forms) and health sections of new student enrollment packets to ensure all legal and safety requirements are met before a student’s first day.
• Health Record Digitization: Maintain 100% accurate student health files by scanning physical documents (physical exams, medical orders) into secure digital systems and linking them to internal tracking sheets in strict adherence to FERPA and HIPAA standards.
• Compliance Data Maintenance: Compile and maintain comprehensive data for annual state health reports; track and identify students with missing immunizations or incomplete health condition paperwork to ensure the nursing team has accurate, up-to-date records for all campuses.
Clinical Support & Direct Care
• Initial Triage: Greet students who enter the health room, take basic temperatures, and determine if the student needs the Nurse immediately or can be managed with basic first aid (Band-Aid, rest, ice pack).
• Illness Tracking: Monitor "Daily Attendance" reasons to identify trends (e.g., a spike in stomach flu in a specific classroom) and report findings to the School Nurse.
• Screening Coordination: Support Nurse with the logistical flow for district-wide vision and hearing screenings, including scheduling, student movement, data entry of results, and managing the family notification process for referrals.
• Health Training Assistance: Support the School Nurse in delivering established mid-year health training to staff; manage logistics, attendance tracking, and resource distribution for day-to-day health protocols.
Communication & Family Engagement
• Family Liaison: Serve as the primary point of contact for non-clinical inquiries, such as missing health-related paperwork, medication updates, or screening follow-ups.
• Proactive Medication Follow-up: Monitor medication expiration dates and contact guardians to ensure replacements and updated authorization forms are received before current supplies expire.
• Cultural Sensitivity: Communicate health requirements and sensitive information with empathy and multicultural awareness, ensuring all families feel supported and informed regardless of background.
Operations & Inventory
• Inventory Management: Conduct regular audits of first aid supplies and office equipment at each of the four school health offices; place orders to ensure no site runs low on essentials.
• Medication Coordination: Manage the intake and year-end return of student medications, ensuring all labels and provider orders are cross-referenced and securely stored at each site.
• District-Wide Logistics: Travel between campuses to perform administrative "sweeps," ensuring all health office environments are organized, standardized, welcoming, and compliant with district policy.

Required Qualifications
• High School Diploma or GED.
• Familiarity with Gmail, Google docs, and Google sheets
• Ability to navigate student information systems
• Familiarity with electronic health records
• Enjoy working with both teachers and young students
• Experience in an office or administrative setting
Preferred Qualifications
• Proficiency in another language, particularly Spanish, Somali, and/or Amharic
License/Certification
• Must have or be eligible to obtain a food handler certification
Physical Demands
• The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is regularly required to talk and hear. This position is active and may require standing, walking, bending, kneeling, stooping, and crouching throughout the day. Frequent light lifting and carrying (less than 15 pounds) with occasional heavy lifting (up to 50 pounds). The employee must have sufficient hand, arm, and finger dexterity to operate a computer keyboard and other office equipment. Work is primarily inside but has daily responsibilities outside (exposure to sun, heat, cold, and inclement weather).
