DIRECTOR OF AUXILIARY PROGRAMS

Pace Academy, one of Atlanta's top independent schools with an enrollment of 1,150 students in Pre-First through 12th grade, seeks a Director of Auxiliary Programs. This is a full-time, 12-month, exempt, benefits-eligible position that will report to the COO. This role is responsible for all aspects of auxiliary programs at Pace, including academic year and summer enrichment programs, academic year extended day programs, summer day camp, the Pace Campus Store and supporting facilities use management. This position supervises the rest of the Auxiliary Programs team and works closely with other departments on campus including the CFO, HR, Facilities, Athletics and Lower School.

Essential Duties and Responsibilities

Academic Year and Summer Enrichment Programs
• Coordinate, implement and administer all school-year and summer enrichment programs across all divisions
• Evaluate existing programs and vendor relationships to determine efficacy and long-term sustainability and research new programs and vendors
• Work collaboratively with internal Pace faculty/staff and external vendors to plan enrichment programs
• Manage and coordinate the logistics of enrichment programs including scheduling, communications, student registration and payment, and vendor payment process
• Manage parent relations/communication, including answering questions, enforcing policies, handling complaints and soliciting feedback
• Oversee vendor relations/communication, including answering questions, obtaining required paperwork for insurance and HR purposes and managing the payment reconciliation process
• Handle program marketing with a focus on growth and retention
• Hire and manage staff to support summer programs
• Support the Keeping Pace summer program with logistics, as needed
• Act as liaison with Pace Academy Boy Scouts, Girl Scouts and Cub Scouts troops

Academic Year Extended-Day and Summer Day Camp
• Coordinate and administer Knight Crew and Late Knight, the Lower and Middle School extended-day programs
• Manage and coordinate the logistics of extended-day and summer day camps, including program development, program scheduling, staffing, communications, registration and payment
• Create and implement fun, engaging, developmentally appropriate activities
• Manage staff hiring, development and evaluation processes
• Determine staffing needs and manage staff scheduling
• Manage parent relations/communications, including answering questions, enforcing policies, handling complaints and soliciting feedback
• Handle program marketing with a focus on growth and retention

Facilities Use Management
• Assist COO, Director of Facilities, and Athletics Director in year-round facilities use management for Pace facilities
• Responsible for managing facilities usage waivers and contract process, including contract preparation and collection of any required insurance documents or payment
• Assist with facilities master calendar management

Skills and Knowledge
• Communicate effectively in a professional manner with parents, faculty, staff, students, and program vendors and staff
• Ability to clearly convey messages regarding organizational policies, procedures and practices
• Ability to recognize potential issues and apply established procedures and problem-solving methods as needed
• Ability to observe student and program staff behavior, assess its appropriateness and apply the proper behavior management technique, positive redirection or corrective action as necessary
• Ability to work independently with minimal supervision
• Ability to use independent judgement and demonstrate initiative
• Ability to monitor and manage program budgets, and to submit budget needs annually to the Business Office in accordance with established timelines and guidelines
• Responsible for reporting and documenting any student injuries, accidents or incidents utilizing established procedures
• Support and implement human resource policies and procedures
• Ability to use various software programs for program scheduling, registration, payment and communication, including Camp Brain, FileMaker and Veracross
• Performs other duties as assigned

Qualifications
• Bachelor’s degree
• Independent school experience preferred
• Strong sense of humor, flexibility and a desire to work with children
• Excellent communication skills
• Ability to work year-round and occasionally beyond 40 hours per week

Working Conditions:
• Moderate noise (i.e., business office with computers, phone, printers, light traffic)
• Ability to work in a confined area
• Ability to sit at a computer terminal for an extended period
• While performing the duties of this job, the employee may be regularly required to stand, sit, talk, hear, reach, stoop, kneel, and use hands and fingers to operate a computer, telephone and keyboard
• Specific vision abilities required by this job include close vision requirements due to computer work
• Work conditions include working outdoors in cold/hot temperatures
• Light to moderate lifting up to 30 pounds may be required
